At SwiftSwim, we are committed to protecting your privacy in accordance with UK data protection law. This policy explains how we handle information provided when you enquire, enrol, pay for and attend swimming lessons.

1. Information We Collect

We may collect contact details for the parent, guardian or adult swimmer; the student's name, date of birth, swimming stage and experience; emergency contact details; lesson and attendance records; progress or coaching notes; consent records; and PayPal order, capture and payer references. We do not receive or store your PayPal password or complete payment-card details.

Where needed for safe and suitable lessons, we also ask about medical conditions, allergies, medication, disability, accessibility and additional support needs. This may be special-category health data and is requested with separate explicit consent.

2. How We Use Your Data

We use personal information to respond to enquiries, assess lesson suitability, process payments and contact you to arrange lesson dates and details. We also use it to provide safe lessons, contact you in an emergency, maintain attendance and progress records, meet legal and accounting duties, and resolve concerns. Marketing is optional and uses a separate choice. We do not sell personal information.

3. Lawful basis

Contact and enrolment information is generally used to take steps at your request and perform the lesson contract, to meet legal obligations, and for legitimate interests such as keeping proportionate business and safety records. Where we rely on consent, including explicit consent for health information where appropriate, you may withdraw it by contacting us. Withdrawal does not make earlier lawful use invalid and may affect whether lessons can continue safely.

4. Storage, security and retention

Enrolment records are stored in a restricted SQL Server database. Health and additional-support answers are additionally protected before storage. We use access controls, encrypted connections and appropriate backups. Information is retained only for as long as needed for lessons, safeguarding, payment, accounting, insurance, dispute handling and legal obligations, after which it is deleted or anonymised under a retention schedule.

5. Service providers

We use carefully selected providers where necessary, including website and database hosting, email delivery, PayPal for payment, Google Analytics for website measurement and Google reCAPTCHA for form security. These providers process information under their own terms or our instructions as applicable. Information is not shared with third-party marketing businesses.

6. Your rights

Depending on the circumstances, you may ask for access, correction, deletion, restriction, objection or transfer of your personal information, and may withdraw consent. Use the contact page to make a request. You may also complain to the UK Information Commissioner's Office.

7. Cookie Policy

Essential cookies and similar storage support website security, enquiry forms and payments. Optional Google Analytics measurement stays off until you choose to allow it. Advertising tracking is off.

• Your choice: We store your analytics preference on your device for up to 180 days. This preference storage is used only to remember your choice. Optional analytics cookies are also limited to 180 days in our website configuration.
